Office and Communications Assistant 

We are recruiting for an Office and Communications Assistant! We are looking for a new part-time administrator to keep our office smoothly functioning. This is a multi-faceted role working closely with two other members of staff. This is a great opportunity for an organised, self-starter who is interested to get more experience in international development and the charitable sector to join a small, friendly, London-based team. 

​Days:​ 2 days per week (14 hours) 
​Salary:​ £19,600 pro rata
​Contract:​ 12 month fixed contract with potential for permanent contract thereafter
​Location:​ Dalston, London

Specific responsibilities include: 

​1.1. Office Management:
- Oversee the day-to-day running of the office, including communication with enquirers and supporters 
- Ensure office is compliant with H&S requirements, is secure and safe
- Ensure compliance with data protection 
- Ensure resources, IT and communication equipment is appropriate and available for staff and volunteer needs 
- Maintain office equipment, stationery and supplies
- Be the point of contact for the landlord and other tenants

1.2. Finance:
- Managing petty cash
- Preparing invoice payment and international transfers
- Recording financial details from events for the book-keeper
- Recording donations both online and offline
- Preparing salary payments 
- Supporting the book-keeper with scanned copies of receipts and payments 

1.3. Fundraising Support:
- Supporting the Director with fundraising and reporting to individuals and trusts including production and printing of leaflets and advertisements and maintaining records of appeals
- Distribution of mailings, appeals, newsletter and membership - including email groups 
- Managing all donations to the organisation, including CAF, standing orders, JustGiving, and other internet sites and correspondence with individual donors
- Administration of sponsorship fundraising events - registration of runners/ riders/ walkers and their donations
- Helping set up donation pages for sponsorship online 
- Maintaining analysis of donations

1.4. Information Technology:
- Maintaining IT equipment including updating anti-virus software
- Maintaining AVI's filing systems (hard copy, soft copy and backup files)
- Liaison with AVI's website designer/ manager/ editing and uploading documents and photos to website
- Managing email accounts
- Managing the phone and broadband

1.5. Communications
- Working with designers to design and produce communication materials - Annual Review & Appeals
- Using online tools to produce and distribute AVI's e-newsletter
- Uploading information on AVI's website
- Maintaining and servicing the donor and member database
- Correspondence with supporters and donors
- Circulating minutes and notices to the management committee

1.6. AVI Activities
- Management of office-based volunteers as agreed with the Director
- Booking rooms and other support for AVI committee and sub-committee meetings, AGM and other events

2. General Responsibilities

Person Specification
- 1 year minimum office management and administration in a small company or organisation within the voluntary or community sector or social impact space (desirable)
- Management of volunteers
- Interest in and knowledge of international development issues (desirable)
- Excellent communication skills face-to-face, on the phone, and by email
- Ability to work alone and use own initiative to develop systems and deal with practical situations as they arise
- IT skills and experience at a level that support email, database, social media, and use of financial spreadsheets (essential) and design skills (desirable) 
- Ability to stay focused and efficient in the face of changing priorities, and to deliver work in a timely manner
- Commitment to the values and ethos of AVI
- Ability to work well in a team with a flexible approach
- Ability to apply awareness of diversity issues to all areas of work
- A self-starter willing to contribute their own ideas to shape the future of the organisation
- Willingness to learn and grow in the post
